Here is how to write a thank you note in five simple parts, with worked examples for gifts, favors, dinners, money, weddings and harder moments.
A good note is shorter than most people think: three to five sentences, written soon, with one detail that proves you noticed. Start with the note builder above if you like to see the words on a card as you type, then read on for the structure, the etiquette and the examples.

The five parts of a thank you note
Almost every note that lands well follows the same shape. Once you know it, you can write one in the time it takes to boil the kettle.
| Part | What it does | Example line |
|---|---|---|
| 1. Greeting | Uses their name the way you usually do | Dear Grandma, Hi Ben |
| 2. The thanks | Names the gift or the act exactly | Thank you for the cookbook. |
| 3. One detail | Shows you noticed and cared | I made the lemon cake on page 40 last night. |
| 4. Looking ahead | Keeps the relationship warm | Come and try a slice next week. |
| 5. Sign-off | Closes with warmth and your name | With love, Asha |
How to write a thank you note, step by step
Follow these steps in order the first few times. After that, they become habit.
- Gather the details first. Before you pick up a pen, jot down who gave what, and one thing you liked about it. Two minutes of notes stops you from writing something vague.
- Open with their name. Write Dear [Name] or Hi [Name], matching how you speak to them in person.
- Say thank you and name it. Put the thanks in the first line and name the gift or the act exactly: the blue scarf, the ride to the airport, the dinner on Friday.
- Add one specific detail. Tell them how you will use it, what it meant or a moment you remember. This one line is what makes the note feel real.
- Look ahead. Add a line about the future: see you at the reunion, I hope to return the favor, come over for tea soon.
- Sign off warmly and send it soon. Close with a sign-off that fits the relationship, add your name, and get it into the post or their inbox within a few days.
If you would rather build it on screen, the note builder at the top of this page walks through the same steps and turns your words into a card you can download.
What to write and what to leave out
The best notes are specific and generous. The weak ones are vague, or they quietly turn the focus back to the writer.
| Write | Skip |
|---|---|
| The exact item or favor | Thanks for the thing |
| How you will use the gift or what it changed | Any hint that you plan to return or swap it |
| What the money is going towards | The amount of a money gift |
| A short, sincere compliment | Long apologies for writing late |
| A real plan to meet or a warm wish | News about unrelated parts of your life |
| Your own handwriting and name | A printed signature on a personal card |
Thank you note format and timing
A good rule for gifts and help is to write within a few days, and inside two weeks if life gets busy. Waiting longer is not a disaster: a late note is always better than silence, and a simple line such as "I meant to write sooner" is all the apology needed.
| Occasion | Common timing |
|---|---|
| Birthday gift, favor, dinner | Within a few days |
| Wedding gifts received at or after the wedding | Within about three months |
| Presents sent ahead of the wedding | Within about two weeks |
| Baby shower gifts | Two to three weeks after the shower if you can |
| Funeral flowers, food and condolences | Usually within a few weeks, with no strict deadline |
Grieving families get extra grace. Another relative or a close friend can write the acknowledgements, and the funeral thank you page has gentle wording for each kind of kindness.
Card, text or email: which to choose
Match the format to the size of the gesture and to how the other person likes to hear from you. If you are working out how to write thank you message texts, keep all five parts and trim each one to a few words.
| Format | Best for | Watch out for |
|---|---|---|
| Handwritten card | Gifts, weddings, elders, teachers, sympathy | It needs a stamp or a hand delivery, so plan a day or two |
| Text or chat message | Small favors, quick help, friends your age | Too casual for a big gift from an older relative |
| Work, school staff, a speaker, a donor | Write a clear subject line so it is not missed | |
| Voice note or call | Grandparents, anyone far away | Follow up in writing for a gift you want remembered |
Many people do both: a quick text on the day so the giver knows it arrived, then a card a few days later.
Handwritten thank you note tips
A handwritten note does not need beautiful writing. It needs to be readable and to sound like you.
- Draft it on scrap paper or your phone first, then copy it out neatly.
- Use a pen that does not smudge, and let the ink dry before you close the card.
- Write on the right-hand inside page of a folded card; leave the left blank or add a small drawing.
- If your writing is large, fewer sentences are better than cramming.
- Keep a small stack of blank cards and stamps at home so the next note takes five minutes.
How to address and sign a thank you note
Use the name you call them in daily life: Dear Auntie, Hi Coach, Dear Dr Rao. For a couple, write both names. For a family, Dear Sharma family is warm and correct. For formal notes, use their title and surname.
| Relationship | Greeting | Sign-off |
|---|---|---|
| Close family and friends | Dear Maa, Hi Tom | With love, Lots of love |
| Relatives and family friends | Dear Uncle Sunil and Auntie Rina | Warmly, With gratitude |
| Teachers and neighbors | Dear Mrs Ford | With thanks, Many thanks |
| Work, donors, officials | Dear Mr Lee, Dear Ms Iyer | Kind regards, Sincerely, Best regards |
Sign with your first name for anyone who knows you well, and add your surname for people who might know more than one Priya.

Dear Aunt Meera,
Thank you so much for the green cotton kurta you sent for my birthday. The color is perfect, and I wore it to dinner the same evening and got three compliments before dessert. I cannot wait to show it to you in person when you visit next month.
With love,
Priya
Hi Sam,
Thank you for giving up your whole Saturday to help me move. I would still be stuck under a pile of boxes without you, and the way you packed the plates meant not one of them broke. Dinner at the new place is on me as soon as I find the forks.
Many thanks,
Jordan
Dear Mr and Mrs Thomas,
Thank you for having us for dinner on Friday. The lamb curry was the best I have tasted in years, and the kids are still talking about the board game marathon afterwards. We would love to have you over to ours before the holidays.
Warmly,
The Patel family
Dear Uncle Raj,
Thank you for your generous graduation gift. I am putting it towards the laptop I need for my first job, so you will be part of every report I write. I hope to see you at the family lunch next weekend.
Gratefully yours,
Arjun
Dear Ms Chen,
Thank you for all the extra time you gave me before the science exam. Your lunchtime sessions made the chemistry finally make sense, and I walked into the hall feeling calm for the first time. I will miss your class next term.
With thanks,
Leo
Dear Rosa,
Thank you for watering my plants and collecting the mail while I was away. Coming home to a happy fern and a neat pile of letters was such a relief. Please let me know when you travel next so I can return the favor.
Warmly,
Dana
Hi Kofi,
Thank you for stepping in to run the client call when I was out sick. The notes you left were clear and thorough, and the client mentioned how prepared you were. Next time you need a hand, I am first in line.
Many thanks,
Grace
Examples for weddings, babies, loss and other big moments
Bigger occasions call for a slightly longer note, but the shape stays the same. If you are thanking someone for a gift to a cause, the donation thank you page has short and long versions.
Dear Anita and Vikram,
Thank you for the beautiful set of brass lamps you gave us for our wedding. They are already on the shelf by the window, and they glow every evening when we sit down together. Having you both at the ceremony made the day even more special. We hope to have you over for dinner once we have unpacked the last box.
With love,
Neha and Rohan
Dear Jess,
Thank you for the soft knitted blanket you gave us at the baby shower. It has become the one thing the baby falls asleep on without a fuss, so you are now our favorite person. We would love for you to come and meet her when things settle down.
With gratitude,
Mia
Dear Mrs Okafor,
Thank you for the flowers and your kind card after Dad passed. Reading your memory of him helping at the school fete made us all smile through the tears. Your thoughtfulness means a great deal to our family.
With heartfelt thanks,
The Adeyemi family
Dear Friends of the River Trust,
Thank you for your donation to our spring clean-up. Your gift paid for gloves, bags and a truck to haul it all away, and fifty volunteers cleared two miles of riverbank in one morning. We will send photos of the results in our next update.
Sincerely,
[Your name], Volunteer Coordinator
Dear Nurse Linda and the ward team,
Thank you for the care you gave my mother during her two weeks on your ward. You always explained things patiently and made time to chat, which kept her spirits up. She is home now and doing well, and our family will not forget your kindness.
Kind regards,
Samuel
Dear Professor Ali,
Thank you for taking the time to read my research draft and for your thoughtful comments. Your suggestion to narrow the question changed the whole paper for the better. I hope to share the final version with you next month.
Best regards,
Hannah

Questions people ask
What is the correct thank you note format?
Greeting with their name, a line of thanks that names the gift or favor, one specific detail, a look ahead, then a warm sign-off and your name. That is five short parts, usually three to five sentences in total.
How long should a thank you note be?
Most notes need only three to five sentences, which fits neatly inside a small card. Longer is fine for a wedding, a mentor or a sympathy acknowledgement, but more words do not make it kinder.
What is the best way to word a thank you for money?
Praise their kindness and mention what you plan to do with it, such as books for college or a new bike. Never mention the amount. A line about the future, like seeing them soon, finishes it nicely.
Is it rude to send a thank you note by text?
Not for small favors or among friends who text all the time. For a gift, especially from an older relative, a card or a call is kinder. You can text right away so they know it arrived and follow up with a card.
What if I am very late writing my thank you note?
Send it anyway. Add one honest line such as "I am sorry this is late, but I wanted you to know how much I loved it," then write the note as normal. People remember the thanks, not the delay.
Should children write their own thank you notes?
Yes, once they can write a sentence or two. Younger children can draw a picture and sign their name while a parent writes the words. It teaches gratitude far better than a parent writing for them.
